This policy explains how personal data is processed in connection with the International Metal Recyclers Meeting 2026 (the “Meeting”) and the website events.igmnir.org, in accordance with Regulation (EU) 2016/679 (“GDPR”), the Polish Act of 10 May 2018 on the Protection of Personal Data, and the Polish Telecommunications Law (in respect of cookies).
01 Data Controller

02 What data we process
- Registration data: first and last name, company, position, e-mail, phone, country, VAT ID / NIP, billing address, preferred hotel, dietary requirements and any notes you provide.
- Consents you grant in the registration form.
- Correspondence if you contact us.
- Technical data: IP address, browser and device information, and cookies (see section 09).
03 Purposes & legal bases
- Organising and running the Meeting, B2B contact and accommodation coordination — performance of a contract or steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR).
- Issuing VAT invoices and accounting — compliance with a legal obligation (Art. 6(1)(c) GDPR, in connection with Polish tax and accounting law).
- Use of your image in photo/video documentation for information and marketing purposes — your consent (Art. 6(1)(a) GDPR).
- Communication, security and improvement of the website (including optional analytics) — our legitimate interest (Art. 6(1)(f) GDPR) or your consent for non-essential cookies.
- Establishing, exercising or defending legal claims — our legitimate interest (Art. 6(1)(f) GDPR).
04 Recipients of data
Your data may be shared with: the co-organisers VDM, BDSV and MRF for the purpose of the Meeting; partner hotels (Hilton Gdańsk, Hotel Gdańsk Boutique) solely where needed to arrange accommodation you select; and processors acting on our behalf under data-processing agreements (IT and hosting – Hostinger, e-mail and accounting providers). We do not sell your personal data.
05 International transfers
Your data is processed within the European Economic Area (EEA). Should any provider process data outside the EEA, we apply appropriate safeguards required by the GDPR, such as the European Commission’s Standard Contractual Clauses.
06 Retention period
- Registration and event data — for the duration of the Meeting and afterwards for the period needed to settle the event and to pursue or defend claims (generally until the relevant limitation periods expire).
- Accounting data (invoices) — 5 years counted from the end of the tax year, as required by Polish law.
- Data processed on the basis of consent — until the consent is withdrawn.
07 Your rights
You have the right to: access your data; rectify it; erase it; restrict its processing; data portability; object to processing based on legitimate interest; and to withdraw any consent at any time (which does not affect the lawfulness of processing carried out before withdrawal). To exercise these rights, contact biuro@igmnir.pl.
You also have the right to lodge a complaint with the supervisory authority — the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, PUODO), ul. Stawki 2, 00-193 Warszawa, Poland.
08 Is providing data mandatory?
Providing registration data is voluntary, but it is necessary to register for and participate in the Meeting — without it we cannot process your registration or issue an invoice. Consent to the use of your image is voluntary.
09 Cookies
Cookies are small text files stored on your device by your browser. On events.igmnir.org we use:
- Essential / functional cookies — necessary for the website to work (e.g. WordPress session and security, LiteSpeed cache, and the cookie-consent preference that remembers your choice). Under the Polish Telecommunications Law (Art. 173(3)) these do not require your consent.
- Optional / analytics cookies — used only with your consent to help us understand how the site is used.
You can manage cookies through the consent banner shown on your first visit and at any time via your browser settings, where you can delete stored cookies or block them. Blocking essential cookies may affect how the website works.
10 Automated decision-making
We do not make decisions based solely on automated processing, including profiling, that would produce legal effects concerning you or similarly significantly affect you.

We may update this policy from time to time. The current version is always available on this page, with the date of the last update shown above.
